Easy2Sync for Files / Outlook - What is the difference?
You might say the programs are "sister products". Easy2Sync for Files synchronizes any kinds of files (but PST files only complete, which may have disadvantages). Easy2Sync for Outlook however synchronizes Outlook (e.g., PST files) without problems, but it won't work on normal files.

If you want to synchronize both files and e-mails, you'll need both products. You can purchase them in a bundle and get a discount.


Easy2Sync for Files / Outlook - Can I have an update?
Both products are separate product lines. An update to the next version within the product line is free for 1 year. The change (or additional usage) of the other product line is not. But we offer a substantial discount (see next question).


Easy2Sync for Files / Outlook - Do you offer discounts?

Can Easy2Sync for Outlook synchronize my Outlook?
Yes. It's that simple.

All Outlook versions, except Outlook Express are supported. Non-Outlook e-mail clients are not supported, sorry


Can Easy2Sync for Outlook synchronize my contacts (and *only* these)?
Yes. Easy2Sync for Outlook synchronizes (in the Business Edition) e-mails, contacts, tasks, calendar items, journal items and notes. You can limit the synchronization to certain folders, e.g., only the contact folder.

This can be done with the "Folder filter". You can see screenshots of all filters here.

If you're creating a new task, you can let Easy2Sync for Outlook support you configuring the task. The software offers wizards for typical special cases, e.g. for synchronizing only the contacts:

Of course, this will also work with other folders. There are wizards for the most important folders, all other folders can be configured either manually (button "Advanced" for both data storages) or with the wizard "Folders with unequal names".


Can Easy2Sync for Outlook synchronize my database?
No. You can use the sister product Easy2Sync for Files to synchronize the files where the database is stored. But a synchronization on data row level is not possible.


Can Easy2Sync for Outlook synchronize my files?
No. You should use the sister product Easy2Sync for Files to synchronize your files. Or get both products in a bundle with discount.


Can Easy2Sync for Outlook synchronize the system time with the internet?
No. Easy2Sync for Outlook synchronizes e-mails in networks.


Can Easy2Sync for Outlook synchronize my Smartphone / cell phone?
No. It works only with PCs.

Can Easy2Sync for Outlook synchronize every x minutes? when my computer is shut down?
Both questions: Yes.


Can Easy2Sync for Outlook use an USB connection to synchronize?
Depends on the manufacturer of the USB cable. Some deliver a software which creates a connection, but does not allow other programs to use it. You can test it. If you can open a file on the other computer with an application (for example Microsoft Word), then you have a full-featured windows network. And Easy2Sync for Outlook will work. (Or simply try the Freeware Edition.)

Warning: Never use the standard USB cables to connect PCs. They were not designed for this and may damage your hardware. Only use cables that are explicitly meant for this.

Combinations (e.g., Outlook XP on Windows 2000 and Outlook 97 on NT) can be synchronized, too!

One exception: Starting Outlook 2003 a new file format (unicode) can be used. Since unicode files cannot be understood by older Outlook versions (2002 and older), you can synchronize Outlook 2003 with older Outlook versions only if you either convert the unicode PST files to non-unicode PST files (Microsoft describes here how to do this) or run Easy2Sync on the computer with the newer Outlook version (because its drivers support both file types).

Can Easy2Sync for Outlook synchronize my Outlook while it is OPEN?
If Outlook is run on the same computer as Easy2Sync for Outlook, the answer is YES.

If the file is on a different computer in the network, then Outlook must be closed on that computer. The reason for this lies in the PST drivers and not in Easy2Sync for Outlook.

Trick for advanced users: If it is important to you that Outlook is always open, you can split the synchronization. Install Easy2Sync for Outlook on both machines (which you normally wouldn't need to do) and synchronize each local PST file with a third PST files. This third file serves as a bridge and can be synchronized from both computers because it is never opened directly from Outlook.

Can Easy2Sync for Outlook synchronize my huge mail file?
We successfully tested Easy2Sync for Outlook with PST files containing up to 8000 e-mails and 1 GB in size. And we were far away from any limits. And we have reports from customers who successfully use our software with even bigger mail files.


Can Easy2Sync for Outlook synchronize my IMAP/OST/CST mail folder?
No, currently only PST files and Microsoft Exchange accounts can be synchronized.


Can Easy2Sync for Outlook synchronize my Exchange server?
Yes, Easy2Sync for Outlook can synchronize with Exchange servers, no matter which version. (If you don't have an Exchange server: Don't worry, it's not required.)

The progam can synchronize either an Exchange server account with a PST file or synchronize two Exchange server accounts. It can synchronize the account completely or in parts (like only the contacts), even if the parts have different names (e.g. "contacts" with "contactos"). Both public folders and user-specific folders can be synchronized.

Limitations: Easy2Sync for Outlook can synchronize individual Exchange server accounts. But not entire Exchange servers (with thousands of accounts).

Can Easy2Sync for Outlook synchronize my Outlook while it is OPEN?
Actually, it's quite simple and reversed left to right. An example:

Computer A contains A.pst and Easy2Sync for Outlook (A)
Computer B contains B.pst and Easy2Sync for Outlook (B)
So, Easy2Sync for Outlook is installed 2 times.

On one of the computers (or on a third computer), the file M.pst is stored. M.pst can simply be an empty file (Outlook: File / New) or a copy of one of the PST-Files. In the first case, the data is build up during the first synchronization which takes some time, of course.

The synchronization must be configured as follows:
Easy2Sync for Outlook (A) synchronizes A.pst with M.pst
Easy2Sync for Outlook (B) synchronizes B.pst with M.pst

A.pst and B.pst are used by Outlook respectively. Because Easy2Sync is running on the same PC as Outlook this won't be a problem. The programs recognize each other and cooperate. And that's all.



Do you need a special network connection?
No. Any network connection that is supported by Windows, works with Easy2Sync for Outlook, too. So, if you can see the other computer's files in an explorer window on your PC, this is already enough.

Easy2Sync works for example with local networks via cable or wireless (WLAN). (For USB cables, see this page.)


Do you need Easy2Sync for Outlook on both computers?
No. You only need to install it on one computer. A network connection will be used then to synchronize the other computer.


Can I synchronize 3 (or more) computers?
Directly in one step it's not possible. Simply use several tasks (requires the Business Edition or several licenses). Synchronize computer A with computer B and after that computer B with computer C.

This answer also applies to Easy2Sync for Files.



How do I synchronize without network?
Without network it's uncomfortable. You'll need a mobile data storage (rewritable CD, memory stick, USB hard disk) which can hold the entire PST file. Synchronize it with computer 2 and after that with computer 2. A tip: Do this only if you cannot create a network due to technical reasons. Nowadays networks are so cheap and easy to configure that the workaround with the mobile data storage doesn't pay.

A tip: Choose this way only if a network is not possible due to technical reasons. Networks are nowadays so cheap and easy to set up that using a storage medium doesn't pay off.

If it really has to be without network: Perform the normal configuration steps on the PCs. On the page "With what do you want to synchronize" choose the option "far away/bridge file":



Can I synchronize over a VPN?
Normally yes. Easy2Sync for Outlook just requires a network connection where the other computer's files can be accessed.


Can I synchronize over the internet?
Currently, Easy2Sync for Outlook cannot synchronize PST files over the internet. The only way for this if you configure a VPN yourself to connect the computers "directly".

Note: This restriction does not apply to Exchange servers. You can synchronize any Exchange server that can be reached by your local Outlook (or via any mail profile that could be used in your local Outlook).


What do I do if the file is locked?
A file is locked if currently a program is open which uses the file. PST files are usually used by Outlook or ActiveSync, perhaps additional search applications. If Easy2Sync for Outlook runs on the same computer as these programs, the drivers will cooperate and the synchronization will work nevertheless. If Easy2Sync runs on a different computer, you'll get an error message ("File locked" or "File being used by another process").

If a file is locked, you have two options: Use the workaround over a third file (Read it here, at ...Outlook while it is OPEN). Or make sure, that the file isn't locked.

For this you must close Outlook, ActiveSync and all other mail applications. To test if a file is really locked, you can use a trick. In the task properties, you'll the paths of the PST files. Use the windows explorer to visit the folder where the PST file is. Try renaming the file. If you can rename it, it isn't locked.


What do I do if the file is locked even though Outlook is closed?
Please begin by checking if other programs may lock the PST file: ActiveSync, E-Mail notification tools, Spam-Filter, additional search programs. If Outlook crashed, the PST files may still be locked and only a reboot will help. Further it may take some time to unlock the PST file after Outlook was closed (up to a minute in some cases).

How can I turn off the splash screen?
In Windows please edit the shortcut you're using to start Easy2Sync and add the parameter /NoSplash.

What do I do if calendar items are moved by 1 hour or cover 2 days?
Please make sure that you are using the same time, time zone, and daylight savings time setting on both machines. This will resolve the problem and Outlook will display the correct times.

How can I fix MAPI_E_NOT_ENOUGH_DISK / MAPI_E_STORE_FULL?
There a 3 possible causes for this problem:
1. The hard disk that contains the pst file is full.
2. You PST file is almost 4GB bit and you're using FAT32. This file system is often used on USB-sticks and -drive and supports max. 4GB per file.
3. You PST file is almost 2GB bit and you're using the old PST file format. That supports max. 2GB per file. Microsoft explains here how to convert it into the new format.

Please note: All these limits are in Outlook or in the file system. Easy2Sync does not have any size limits.

To make PST files smaller in general you can delete old e-mails, empty the deleted-items-folder and compress the file (Rightclick the topmost item in the folder tree > Properties > Advanced)

Can I sync with Exchange accounts?
Yes. All accounts listed under "Start > Control panel > Mail > Profile" can be synchronized by Easy2Sync for Outlook.

I want to sync only my Exchange calendar / contacts. Is that possible?
Yes. When creating the task, simply choose the desired folders.

Can I sync accounts from two different Exchange servers?
Yes. Simply make sure that you have a profile (Start > Control panel > Mail > Profile) for each server and then choose these profiles in Easy2Sync for a sync.

Can I sync an Exchange account with a PST file?
Yes.

Can I sync "Public folders"?
Yes, you can sync "Public folders" with other folders (public or private). For example you can sync a public calendar folder with a user's private calendar folder.

Can I sync "Shared" Exchange folders?
Sorry, no. Shared Exchange folders cannot be synchronized. You need full access the respective account. (Note: This answers applies to Exchange only and NOT to shared folders in a Windows file system.)
